Position Title: Finance Assistant
IMC Sudan — Base in Khartoum
Gross Salary: 312 USD per month
Job Summary: 
The Finance Assistant - works under the guidance and supervision of Senior Finance Officer and is responsible for reviewing procurement documents before processing payments and prepares payment vouchers and is also responsible for scanning monthly vouchers and making financial data entry into the finance online system (Cost point).

The below outlines the duties and responsibilities for this Job title:
Main duties, tasks and responsibilities:
- Preparing cash payment vouchers by obtaining and verifying relevant supporting documents including; PR, RFQ, quotations/ Proforma,- bid summary, PO, GRN, invoice/ bills for every transaction and record this in the CT J and file paid
vouchers in the monthly finance vouchers file.
- Coding of projects expenses in line with nature of expense as guided by the chart of accounts (COA) and apply reference 2 codes in line with actual budget line.
- Update Cash Transaction Journal (CT J) and performing cash count on daily basis.
- Provide Cash Reconciliation at end of the every month that reconciles actual cash count with CTJ/Cost point balances
- Key in all daily CT J transaction in cost point financial system.
- Process salary payment for staff paid in cash in a timely in line with approved payroll.
- Pay out monthly local pay to international staff.
- Ensure all invoices are stamped with PAID stamp before scanning.
- Follow up with the Field Finance officers and ensure all their monthly finance vouchers with complete back up are received in Khartoum on time.
- Check and ensure complete supporting documents are attached to vouchers before scanning monthly vouchers and uploading scanning on shared drive.
- Ensure the monthly scanning is complete and Monthly Scanning check off list is done and reviewed before uploading monthly scanning on shared drive
- To keep back up all the monthly scanning in an external hard drive and ensure such back up hard drive is safely kept in a safe and secure environment.
- Follow up on any missing documents with the relevant departments and report back to supervisor.
- Under the Guidance of supervisor or and colleagues, help in getting the required audit paper work / and schedules.
- Collect all quarterly/ semi-annual /annual audit schedules such as authorized signatories, signed conflict of interest disclosure forms are signed, scanned and shared with HQ internal audit department.
- Cooperate with the rest of the Staff in ensuring smooth working environment, giving support where needed within the department.
- To be in-charge of arranging files in the finance archives and any other location where finance files and vouchers are kept.
- With the support of the supervisor and other finance staff be responsible for keeping a list of all files available in the finance files archives and ensure it is regularly updated.
- Work on file indexing system and ensure such indexing system is well kept for ease of reference.
- Be in-charge of keeping vouchers removed from files acknowledgement receipt showing who took the voucher and when it will be returned and ensure all vouchers taken out of files either for internal and external audit are returned back to their original files.
- To meet all deadlines for all given tasks as set by your supervisor
- Respect IMC safety and security regulations especially confidentiality in dealing with cash / records.
- Actively promote PSEA (Prevention of Sexual Exploitation and Abuse) standards within International Medical Corps and amongst beneficiaries served by International Medical Corps.
- Any other duties related to this function as may be assigned from time to time by his/her supervisor.
Minimum Qualifications and required skills
- Fresh graduate with University degree especially Degree or Advance Diploma in Finance/Accounting or Business Administration.
- Maximum One year' experience in book keeping /accounting especially working in an NGO setting
- Fluent in both written and spoken Arabic and English languages.
- Knowledge in Standard computer and IT skills in using MS Word, MS Excel, Outlook, PDF adobe.
- Ability to read, analyze and interpret, technical and non-technical English language
- Excellent organizational and time management skills with the ability to prioritize tasks.
- Good communications skills.
Salary and Benefits:-
- International Medical Corps (IMC) offers a very competitive salary and benefit to its employees. The employee shall receive a monthly gross salary of USD 312.
- Additionally IMC offers different package of allowances including 21 USD as medical allowance per month. IMC also pays one month basic salary as bonus once every year during Ramadan month (Eid Alfitr).
